How to Create a Business Action Plan

“Ok, what should I be doing for my business this week? What about this month?”

“What am I supposed to do now in order to be successful in my business?”

“I’m ready to work hard on my business, I’m just not sure what to do next.”


If you have ever found yourself asking these questions on Monday morning, you need an Action Plan!


*An Action Plan is a specific, daily set of to-do items that, when accomplished consistently, will result in your success.*


But they don’t teach you how to create an action plan in school, so how are you supposed to learn? I learned from asking my mentors and following the examples of successful people. This post is meant to help a few more people learn the steps to action planning that I have pieced together over years of asking, collecting, and trying new ideas. Feel free to post a comment or contact me if you have your own ideas or success stories!


The first step in creating an action plan is to find your WHY. Find your favorite chair, dim the lights, and get a nice pen and a clean sheet of paper (I recommend real paper and pen, but if typing is easier for you, I understand). Write four questions on this piece of paper, and answer them as completely as you can. Give yourself at least 15 minutes for the four questions.


Tip: If you get stuck or blocked, just start free writing whatever comes into your mind. Moving the pen on the paper can get you un-stuck better than doing nothing.


-Why am I really doing this business?

-What does this business allow for me that I wouldn’t have otherwise?

-What are the obstacles to my success (both internal and external/circumstantial)?

-What personal strengths and gifts do I have that will help me succeed?


This step is crucial to success because it will help you create a reminder for yourself of why you decided to start a business in the first place, why you will be good at it, and what to watch out for. It may seem corny or fluffy at first, but the first question ALL of my thick-skinned, hard-hitting business mentors ask me is, “WHY are you doing this business? What is going to keep you motivated to succeed?” I refer back to my list frequently, and my answers always inspire me, give me new ideas, or give me a good kick in the backside to refocus my efforts. Remember that this is a work in progress. You can always go back to it and add, delete, or re-do a question.


Advanced Tip: If you need to create a brand for your business, these questions are also a great starting point for focusing your branding ideas.


The second step to creating your action plan is taking an inventory of your resources, including time, money, number of current contacts (your database), and your skills. My marketing plan would be totally different if I had 30 hours/week, $2,000/month, and knew how to design and build webpages with xhtml coding. Decide the hours you are willing to invest in your business, and create your action plan around those hours, not the other way around. If you plan your time after you chose your marketing system, you might end up resenting your business for eating up too much of your free time, and end up either re-doing your plan or quitting (and I don’t want that to happen to you. Or me.)


A basic template for taking stock of your resources would look like this:


-Number of contacts I have currently: (how many people do you know?)

-Hours per week I can spend:

-What days/times I can work: (e.g. weekends, nights, lunch hour, etc.)

-Skills I can put to work immediately:

-Amount of money can I spend per month:

-Potential Mentors to ask for guidance:

-Potential business partners:


Be real with yourself about your commitments and resources. A sustainable action plan is better than an overly ambitious one.


The third step in your action plan should be choosing 3-5 marketing systems, based on a specific target market. These 3-5 marketing systems will be the daily grind of your business, so choose them wisely they should fit the following criteria:

~They involve activities you enjoy and excel at.

If you hate writing and can’t spell, an article writing campaign may not be the best strategy (unless you have the dough to spend on ghost writers).

~They are directly aimed at your target market.

A campaign directed at health-conscious middle class 20-30somethings looking for environmentally friendly alternative products should be marketed at local health food stores, not the local burger joint.

~They are getting results for you, or have gotten results for someone else in the recent past.

If you’re not sure it will work, don’t spend a lot of time on it. There are a plethora of good marketing systems out there that other people have already invested years of time and fortunes on – don’t re-invent the whole car, use someone else’s!


The final step to your action plan is writing your action items in your scheduler, every day. You can use either a virtual scheduler, or a tree-based one, but I recommend the former. The important thing is that you create a daily to-do list that you will refer to every morning, and check off every night. A typical day might read…


~Check email and respond to urgent items

~Update blog with new content and Ping it.

~Send email update to list about new blog entry

~Follow up with new customers from last week

~Send out 15 letters to mailing list


These specific action items will keep you focused on the tasks that will get you results in your business, and keep you from getting sidetracked. They are the vegan-crumbles and potatoes of your business, and with regular consumption, will help grow strong bones.


I hear frequently that the biggest reason new businesses fail is because the owner gets discouraged with their results and gives up within 90 days. I wonder how many of those businesses would have been successful if the owners had worked a consistent action plan past 90 days…


As Eleanor Roosevelt said, “It takes as much energy to wish as it does to plan.”

So stop wishing and get to planning!

The Key to an Effective Letter of Intent

A letter of intent, or LOI, is a document that outlines an agreement between two or more parties before the agreement is finalized. A Letter of Intent resembles a written contract, but generally are not binding upon the parties. The purpose of an Letter of Intent may be to clarify the key points of a complex transaction for the convenience of the parties, to declare officially that the parties are currently negotiating, as in a merger or joint venture proposal, or to provide safeguards in case a deal collapses during negotiation


Non-binding letters of intent for the purchase of a business or business assets should be drafted carefully, and may include most or all of the following elements:


Total compensation offered, including breakdown (size of security deposit, down payment, seller-financed debt, bank debt)


Warranties of clear and marketable title


A detailed list of all liabilities and assets to be purchased


Assurances of the validity and assumability of contracts (if applicable)


Tax liability limitations


Operating condition of all equipment and machinery at time of purchase


Stipulations allowing buyer to adjust the purchase price in the event that: 1) undisclosed liabilities come due after settlement, and 2) actual inventory purchased does not match amount specified in sale agreement


Provisions that the business passes any and all necessary inspections


Provisions that final sale is contingent on verification of financial statements, license and lease transfers


Provisions that final sale is contingent on obtaining financing for purchase


Restrictions on business operations until final settlement


Non-competition and advisory clauses (these are sometimes arranged in a separate document)


Allocation of purchase price


Date for settlement (may also include “drop dead” date at which both sides agree to discontinue negotiations) Business experts say, however, that most letters of intent are primarily concerned with delineating only the major terms of the transaction. Indeed, a small business owner who ends up negotiating numerous minor details in a letter of intent may as well skip the step entirely and proceed directly to a binding purchase and sale agreement.


Major terms that should be included in a letter of intent, however, include the total price to be paid, including the down payment and the installment payments; a description of assets or stock to be sold; tax allocation of the price among fixed assets, goodwill, non-compete covenants, and consulting fees; and target dates for contract signing and closing. Of all of these components, price and payment terms are easily the most important elements of the letter.

What waiters can tell us about writing better proposals

What can waiters tell us about persuasion? Well, how often has you tip altered depending on the quality of service? How often has your order changed depending on the recommendations of the waiter? And was you judgement about repeat business affected by the person who was your primary contact?

Successful food servers are not just good at increasing the size of their tips – they also improve the revenue for the restaurant by providing a service that is firstly good quality and personable (making people come back again) but by also making recommendations on what people should eat and drink – ever paid more than you intended for that bottle of wine because the waiter recommended it? Research also shows that repeating customer orders back increases tip size…as does how you give people sweets at the end of the meal. I’ll be looking at that in my next book review “Yes! 50 Secrets from the Science of Persuasion”.

Bad service drives me crazy in a restaurant. And I have no idea why restaurant owners put up with it – I’m sure that the main reason people don’t return to restaurants is poor service. What’s that got to do with proposals?

Well, look at your proposal as if it were a meal and the client was the diner…stay with me here…would you return to the restaurant? Or put it this way, does your proposal look after the client? Are they going to feel that even though you have recommended something expensive, perhaps even more expensive than they had intended paying, that it was worth it? Does your proposal give them a positive experience and value for money?

Or does it give them indigestion and make them feel as if they never want to eat there again?

How about repeating an order back? Tips increase, which shows greater customer satisfaction. Look at your proposals and be sure that you have accurately reflected the client requirement. Does anything annoy your more than receiving the wrong order because the waiter wasn’t paying attention? No. So don’t propose a solution that doesn’t meet the client’s requirement.

Feel free to recommend something better. They value your expertise in this area and want your opinion. And bear in mind, that a more expensive “five star” option makes a less expensive “standard” solution look more affordable…the restaurant knows this by putting all those expensive wines and champagnes on the wine list…all of a sudden you think that £30 for a bottle of wine isn’t so bad after all.

People reward good experiences and avoid returning to places they have had a bad one. Make sure your proposal reflects our client’s needs and concerns and makes recommendations for a solution. Go on and provide good service and they will want to come back.

There are lots of successful businesses out there that operate in different spheres and ways than yours or mine. But shouldn’t be able to look at what makes them successful and integrate some of those features in our business to help us succeed?

Why not try it? Otherwise you may be heading the same way as that dodgy restaurant that you ate at last week.

The domain name is the address of your website on the internet. Having your own domain name indicates for your visitors and potential customers that you are a serious businessman.

Your domain name must to be:

-short, simple and easy to remember,

Do not be tempted by FREE hosting. The risk of your site having downtime and lousy support far outweighs whatever you can save by not having a proper hosting company. Also, this would give a bad impression to your customers. Free accounts are not for anyone even half serious about doing business on the Web. Not when you can get a perfectly acceptable commercial host for as little as $10 / month.

Most hosting companies provide a range of services, starting with low-budget packages and moving up to more advanced and expensive features. Generally, you want to make sure that your host has a fast connection to the Internet and can handle large numbers of simultaneous visits (bandwidth) to your website. And you’ll need secure server capabilities. As is the common practice now, they should be offering you a variety of related services (cgi. capabilities, ftp. accesses) and support for your business use.

Payment Processing Systems.

The next phase of building an online business is to integrate it transaction systems. Transaction is the most important aspect of any online business! Payments with credit card are the fastest and the most efficient form of a transaction on a website. The most vital aspect of the complete transaction process is security and authentication of the transactions on your website. You should incorporate a payment system that accepts all major credit cards. After all, you wouldn’t want to lose a sale just because you do not accept a certain credit card.

Your Follow Up System.

As good as your website conversion rate may be, a big number of your prospects will not buy your products at first contact. They might want to do a comparison between your product and other people’s product, need more time to think about it, or leave your web page for whatever reason. And the truth is that we all can hardly remember where we were ten web pages ago.

So, you need to set up an automatic system that follows up with your prospects to continue persuading them to buy your products. A good followup system will allow you to close sales even after your prospects have left your web page.

1. Write a Series of Follow-Up Letters.

Your short newsletter must contain valuable information that is especially useful to your prospect because he would not like to be followed up on to reconsider. However, he would not mind receiving something of value to him through your newsletter, which will enable you to end with a reminder of the value of your product to him at the closing of your letter.

2. Sign Up For an Autoresponder Service.

If you’ve ever asked for information online about a product or service, or signed up for an e-list or group membership on the Internet, and received a nearly instantaneous response in your e-mail inbox, an autoresponder program was responsible for delivering the reply.

An autoresponder is a computer program that automatically sends out prewritten e-mail messages to subscribers within its data base. You can determine the sequences and intervals of each of your messages, sparing you the time to manually follow-up with your prospects.

3. Store Your Follow-Up Letters into Your Autoresponder and Set Intervals between Your Letters.

Add all of your pre-written letter templates into your auto responder system. Set your first follow-up letter to go out immediately – 0 days. This means that your prospects will receive your first letter as soon as he subscribes to your follow-up series. Your second letter may be set to go out on the 2nd day, and the third 2 days after the second letter is sent out.
